How to evaluate workflow automation for HawkSoft

When HawkSoft work is denied, partially returned or queued, separate the missing permission from the missing result. Keep the original attempt and source edition intact, assign the next check, and reconcile the destination before deciding on a retry.

Evaluate the operation and the agency’s authority

Start with the specific application programming interface (API) operation, not a general “connected” label. HawkSoft’s partner-program requirements and agency scope opt-in are separate; some scopes need additional enablement. Its V4 documentation describes extra agency opt-in for invoice data.

Record the task’s allowed action and required data separately. Reading a permitted subset can leave a preparation task incomplete even when the request succeeds. Public documentation establishes a provider contract, not your current grants or any Decla operation.

Treat response signals as evidence, not closeout

Documented signals below are specific to the named V4 operation; the next actions are original review recommendations.

Denied data on a client readV4 Client Includes can return permitted data while listing denied include items in a Denied header.Data owner: mark those fields unavailable, not empty or zero; resolve the affected permission.
202 for POST Log NoteDocuments a saved request whose log creation waits for the agency’s cloud connection.Integration owner: track the pending attempt; obtain a destination observation before retrying.
200 for POST Log NoteDocuments successful log creation.Agency reviewer: match the destination log to the intended client, policy and accepted content.
403 for POST Log NoteCan mean agency unavailable or endpoint permission missing.Agency administrator: resolve the stated access issue; a received approval document alone is not clearance.

Resolve a deferred or denied task

  1. Freeze one task and endpoint

    Task owner

Name the agency/client/policy aliases, applicable period, source edition and exact intended result. Keep the expected log content and receiving owner in the task record. Define the destination observation that will establish completion.

  2. Separate the permission and data holds

    Agency administrator and data owner

Identify the approved partner application and agency-authorized action scope. Keep any missing invoice-data permission separate from permission to create a log. Narrow the task only through an explicit reviewer disposition; do not fill denied fields from assumptions.

  3. Keep the attempt evidence together

    Integration owner

For an authorized attempt, preserve its reference, source and approved-content editions, response and any denial metadata. A changed source starts a review question, not a replacement of the prior attempt’s evidence.

  4. Check the destination independently

    Agency reviewer

Ask the permitted agency observer to match the resulting log’s client/policy linkage and content with the accepted output. Record what was inspected and what remains unknown. A partial field check supports only that field, not the whole task.

  5. Decide whether another action is permitted

    Task owner and integration owner

If a queued attempt’s outcome is uncertain, investigate it before submitting another mutation. If the source, destination identity or approved action changed, obtain the appropriate disposition and review first. Assign a receiving owner for unresolved work.

Worked example: a queued log and a changed source

All aliases, documents, dates, responses and observations are fictional. No HawkSoft or Decla operation was run.
CheckpointSource or attempt evidenceDispositionNext owner/actionResult evidenced
A1 — held before attemptOctober 6, 2026: T1 v1 requests a renewal-review log for C-A/P-A, requested 2027 period, source S1 v1 (statement attachment missing). Log-creation scope is unconfirmed.No attempt made.Administrator must confirm the exact application/agency/action grant.No destination result; task held.
G2 / D1 — narrow clearanceOctober 7: fictional G2 confirms log-creation scope. A separate client response returns permitted data with header Denied: Invoices.Grant gap closes for log creation only; invoice inputs remain unavailable.Reviewer R1 accepts note N1 v1 recording missing invoice information, without amounts; invoice analysis stays held.A reduced note scope is accepted, not a completed invoice workflow.
Q1 — deferred attemptOctober 7: separate fictional attempt reference Q1 sends accepted N1 v1, linked to S1 v1/C-A/P-A; response is 202.Pending destination verification.Integration owner retains Q1 and its payload; no duplicate submission.Response recorded; no matching destination log observed yet.
S1 v2 — source changesOctober 8: S1 v2 arrives with a revised renewal statement; the missing attachment is now available.Availability gap closes only. Q1 still relates to S1 v1/N1 v1.Reviewer must disposition changed content; prior acceptance does not cover a new note.No new submission or review acceptance evidenced.
O1 / H1 — investigateOctober 8: observer O1 checks the agreed C-A/P-A destination and finds no matching Q1 log at that observation. H1 is accepted by the integration owner.Q1 outcome remains unknown; absence at one check is not proof of final failure.H1 accepts investigating Q1 only. Reconcile its outcome before any retry or revised mutation.Investigation handed off; original task is not complete.
A2 — separate cleared testSeparate hypothetical test only after Q1 reconciliation and S1 v2/N2 v1/grant/review clearance; response is 200.D2 independently matches the resulting log to C-A/P-A and accepted N2 v1 content.Receiving owner accepts this exact log-result handoff. None of these clearances occurred in A1–H1.Log-result checkpoint closes in this separate fiction; renewal completion is not established.

Resolve the mismatch before resubmitting

V4’s POST Log Note field table uses Channel and Note; its example instead uses action, description and body. Resolve that payload mismatch with the responsible integration owner before any authorized attempt; this guide is not an executable request specification.

  • If only part of the destination is checked, retain the unchecked linkage, content or source-edition questions as open.
  • If the expected result already exists, reconcile it with the prior attempt before deciding whether a further action is needed. Do not assume an attempt reference guarantees duplicate prevention.
  • If the receiving owner accepts investigation, record that limited handoff; it does not close the queued task.

Frequently asked questions

What should we do when HawkSoft automation is denied, partial or queued?

Separate the missing permission from the missing result. Keep the original attempt and source edition intact, assign the next check, and reconcile the destination before deciding on a retry.
