For AI agents

AI automation versus outsourcing insurance agency work

Compare artificial intelligence (AI) automation and outsourced services against the same agency task and accepted output. Include the work retained by your team, service fees and setup; fewer agency hours do not become a cash benefit unless spending is actually avoided or additional income is realized.

Price the same work boundary

Choose a bounded job such as preparing a source-linked certificate request summary for agency review. State whether gathering inputs, clarification, business review, issuance and communication are included or retained. A service team can perform permitted actions; automation can also stop at preparation. Compare the actual offer and task evidence rather than assume either scope from the label.

Identify who supplies current sources, who reviews the result and who accepts unresolved work. An inexpensive preparation offer is not equivalent to a service that also owns permitted clarification and exception handling.

Build a comparable task estimate

  1. Freeze the endpoint and task window

    Agency process owner

Define arrivals, accepted output and unresolved cases over one period. Use approved safe materials and the same source quality for both options. For the certificate request, a reviewed summary is the endpoint; issuing or sending a certificate would be a separate scope.

  2. Separate retained effort from purchased work

    Operations lead and offer owner

Record agency preparation, review and rework as non-overlapping active minutes. Add coordination overhead and one-time setup separately. Include the service or software fee once; do not add provider labor again if its fee already includes it. Keep waiting time separate from person effort.

  3. Check quality, recovery and realization

Task reviewer and financial decision owner

Require the same source-matching acceptance check. Count unresolved or rejected outputs separately, with their correction owner. Then identify any actual spending avoided or income added; reassigned salaried time is capacity, not automatically lower payroll.

Worked assumptions: three months, one preparation endpoint

The fictional task is a review-ready certificate request summary, with issuance and sending excluded. Assume 100 task arrivals per month for three months, all reaching that endpoint after the included rework. Value agency time at a hypothetical loaded rate of 45 United States dollars (USD) per hour. No extra labor overhead is added to that rate.

Table preparation minutes are agency input assembly or operator work. Outsourced preparation labor is included in the fictional service fee. Coordination hours are additional, non-overlapping agency work; setup occurs once. These inputs are assumptions, not vendor quotes, measured performance or Decla prices.

Synthetic task-cost comparison

Illustrative example using synthetic data. All fees, effort and workload are hypothetical, with no vendor ranking or observed result.

Reproduce the arithmetic and read the tradeoff

Agency hours = 3 × [100 × (preparation + review + rework minutes) ÷ 60 + monthly coordination hours] + one-time setup hours. External fees = 3 × monthly fee + one-time external setup fee. Allocated task cost = agency hours × USD45 + external fees. Calculate using unrounded values.

For outsourced preparation: 3 × [100 × 12 ÷ 60 + 2] + 4 = 70 agency hours; 70 × USD45 + USD2,500 = USD5,650. For AI preparation: 3 × [100 × 14 ÷ 60 + 1] + 6 = 79 hours; 79 × USD45 + USD1,050 = USD4,605.

In this fictional case, outsourcing releases 40 agency hours but has USD700 more allocated cost than the baseline. AI preparation releases 31 hours with USD345 less allocated cost. Neither difference establishes realized cash savings: the scenario assumes no avoided spending or additional income, while external fees are added cash expenses.

Keep correction work inside the decision

If holder instructions change from H-A v1 to H-B v2, the receiving agency reviewer should see the new edition and outstanding questions, not a summary silently reusing the old recipient. Compare who detects that change, obtains clarification and returns the current artifact for review. Acceptance of that clarification handoff does not complete the certificate request.

If a later permitted action has an uncertain result, assign an investigation owner before repetition. For preparation-only work, inspect the returned artifact instead of demanding send authority. Select the scope your team can operate and accept; a hybrid arrangement can retain sensitive or unresolved decisions with the agency.

Source and method scope

This is an original suitability and cost method with fictional inputs. The Agents Council for Technology (ACT) 2026 technology-trends landing page recommends workflow priorities, written AI governance and role-based training; it supplies no benchmark or price for this comparison.
