Insurance policy checking

A useful policy check gives the commercial account reviewer a source-linked discrepancy record: what differs, which document edition says it, what is missing and who owns the next decision. Evaluate preparation, review and any subsequent record action separately.

Define the exact comparison

A policy-checking assignment starts when an issued commercial policy or revised endorsement arrives. Give the reviewer the accepted request or selected quote edition, issued declarations, forms index and available form attachments. Identify the account alias, line, policy period and comparison purpose before extracting differences.

Use page references as well as filenames. A quote’s form reference and an issued index entry identify something to investigate; neither supplies the missing wording. Record absent attachments as unavailable, not as evidence that the policy excludes or includes the requested provision. Keep prior editions available for comparison without letting them become the current instruction.

From received documents to a review-ready discrepancy record

  1. Anchor the sources

    Commercial service colleague

Name each document edition, received date and page or section reference. Match the entity and period. If the selected quote or accepted request is unclear, return that choice to its owner before comparing the issued set.

  2. Separate extracted differences from questions

    Policy-checking preparer

Place the reference value beside the issued-document value. Label a period mismatch, changed form edition or unavailable attachment in plain language. Preserve unreadable or contradictory fields as questions, with a named source to obtain; do not fill them from a similar prior policy.

  3. Review the exact discrepancy

    Assigned account reviewer

Return a disposition for the cited sources and question: accepted difference, clarification required or correction requested. Interpretation of policy wording and advice to the client belong with the responsible qualified reviewer, not an extraction status.

  4. Reconcile the returned edition

    Receiving service owner

Compare a returned attachment or corrected document with the affected row. Retain the earlier evidence and record what actually closed. Track any permitted agency management system (AMS) update and its persisted readback separately from the document check.

Illustrative output: one attachment gap closes

Illustrative example using synthetic data. Commercial account C-A, forms F-A/F-B and all references below are fictional aliases, not carrier forms or a Decla execution trace. Q1 v2 is the selected comparison source; this example does not assert a binding instruction or coverage recommendation.

A returned file does not finish the whole check

A1 does not resolve the policy-period mismatch on I1 page 1 or approve delivery of a complete policy set.

  • Changed quote, request or issued edition: identify affected rows and obtain a new disposition; acceptance of an earlier edition does not transfer automatically.
  • Missing or unreadable pages: ask for the exact reference and retain the unresolved scope. Do not call the set checked because the declarations were readable.
  • Unknown system update result: preserve the attempt reference and obtain an allowed readback before deciding whether a retry is appropriate.
  • Scoped handoff: name the accepted follow-up task, open discrepancies and evidence to return. Acknowledging a correction request is not issuance, client delivery or completion.

Why endorsement references belong in the check

The National Association of Insurance Commissioners (NAIC), in its August 22, 2019 consumer article, describes endorsements as amendments and recommends comparing a received endorsement with the original policy and discussing changes with an agent or representative. That dated guidance supports retaining and reviewing the documents; it does not decide the fictional discrepancies in the example or prescribe a universal commercial checking checklist.

Evaluate Decla against this output

Decla’s About page positions the company as an AI operations platform for commercial insurance. For policy checking, ask for evidence of the exact document task and review boundary rather than treating that positioning as proof of extraction, coverage interpretation or record updates.

  • Which permitted source locations and document types can the actual task retrieve, and how are editions and page references preserved?
  • Can the review artifact show a missing attachment, changed form edition and unresolved period without silently selecting an answer?
  • Who accepts the discrepancy disposition and any subsequent action? Ask to see the returned document, actual action result, separate record readback and changed-source or failure branch.

Frequently asked questions

Can AI read carrier policy documents and check them against the quote?

A useful policy check gives the commercial account reviewer a source-linked discrepancy record: what differs, which document edition says it, what is missing and who owns the next decision. Evaluate preparation, review and any subsequent record action separately.
