What Is Decla? AI for Insurance Agency Operations
Decla is AI software for independent insurance agencies and brokerages. It connects to your agency management system (AMS), your email and your carrier portals, then does back-office work inside them: reading inbound requests, looking up the client and policy, pulling documents from carrier sites, filling forms and drafting replies in your team's voice. Your team stays in control. Decla prepares the work, and a person reviews it before anything is sent to a client or written to the AMS. This page covers what Decla does, how it works, what it isn't, which systems it connects to, and how your data is handled.

What Decla does
Decla is built for the repetitive work that fills a service desk: the requests that need a lookup, a document and a reply. These are the workflows agencies use it for most.
| Workflow | What Decla does |
|---|---|
| Inbound email | Reads the request, finds the client and policy in your AMS, and leaves a reply in your drafts, in the sender's voice and signature |
| Renewals | Pulls the expiring policy, assembles the renewal file, builds a comparison and drafts the client email |
| Certificates and ACORD forms | Prepares certificates and fills ACORD forms from the policy data in your AMS |
| Carrier portals | Logs in, handles multi-factor authentication, and retrieves loss runs, dec pages and ID cards, or runs quotes |
| Proposals and summaries | Drafts proposals, renewal summaries and loss run summaries for client meetings |
| AMS updates | Logs activity notes, files attachments and stages changes in your AMS, for your team to approve |
How it works
Connect your email and AMS
Each user connects their Microsoft 365 or Google Workspace mailbox, and your agency connects its AMS. Decla works with the systems you already run; there's nothing to migrate.
Decla reads what comes in
When a request arrives, Decla identifies what's being asked and pulls the client and policy from your AMS for context. Your team can also hand Decla a task directly.
It does the work in your systems
Decla retrieves documents from carrier portals, fills forms, builds comparisons and drafts replies. If information is missing, it pauses and asks instead of guessing.
Your team reviews and approves
Replies wait in drafts, and AMS changes wait for approval. Nothing material goes to a client or into the AMS without a person signing off.
It follows your agency's rules
Your procedures live in Decla as SOPs: who approves what, which carriers you use, how you want each request handled. Decla follows them, so the work matches how your agency already operates.
What Decla isn't
Agencies that have tried other AI tools usually ask about these first.
- A chatbot. Decla does the work inside your AMS, email and carrier portals instead of answering questions in a separate window.
- A replacement for your AMS. Your AMS stays the system of record; Decla reads from it and writes back to it.
- An autopilot that sends on its own. By default, client emails and AMS changes wait for your team's approval.
- A guesser. When something is missing or unclear, Decla stops and asks.
Systems Decla works with
What Decla can read and write depends on what each system's API allows. Where an API doesn't support a change, Decla prepares the work and a person finishes it in that system.
| System | What Decla does there |
|---|---|
| Vertafore AMS360 | Reads and writes through Vertafore's APIs: client and policy lookups, activity notes, attachments, and many record updates |
| Applied Epic | Reads and writes through Applied's APIs. Applied charges agencies its own fee for API access; agencies can start on email and portal workflows while that's set up |
| HawkSoft | Client and policy lookups, log notes, tasks and attachment filing. HawkSoft's API doesn't allow coverage changes on existing policies, so those stay in HawkSoft |
| Momentum AMP / NowCerts | Reads policy information and adds records |
| Other AMS, or no API | Email, document and carrier portal workflows still work without an AMS connection |
| Microsoft 365 / Outlook and Google Workspace / Gmail | |
| Other platforms | AgencyZoom, BenefitPoint and IPFS |
Who Decla is for
Decla is built for independent P&C agencies and brokerages, and for the people who carry the service load: producers, account managers and CSRs. It's most useful where the same kinds of requests arrive every day and each one means a lookup, a document and a reply.
It isn't built for captive agents, or for benefits-only agencies with no P&C work.
Security and your data
Decla works with client and policy data, so security questions come up early. In short:
- SOC 2 Type 2 audited
- Data encrypted at rest and in transit; stored credentials and tokens are encrypted
- Your data is never used to train AI models
- Email access is authorized by each user through Microsoft or Google sign-in
- Decla only uses the carrier portals your agency chooses to set up
Security documentation, including the SOC 2 report, is available through the Decla Trust Center at trust.decla.com.
